Terms of Service & Operational Scope
Standard contractual guidelines, service levels, confidentiality protections, and strict tax non-advice boundaries governing all client engagements.
Strictly Excluding Taxation & Tax Advisory
Cuboid Business Solutions provides operational back-office execution, transactional bookkeeping, accounts payable and receivable management, automated bank reconciliations, and management accounting reporting.
Cuboid does not provide certified public taxation advice, tax planning, or corporate tax return filings. All deliverables consist of GAAP/IFRS-compliant, audit-ready trial balances structured for direct handover to your independent certified public accountant (CPA) or licensed tax advisor.
Acceptance & Statement of Work (SOW)
By signing a Cuboid Proposal, executing a formal Statement of Work (SOW), or granting user access to client accounting systems, the Client agrees to these standard Terms of Service.
Each individual engagement is governed by an executed SOW outlining specific transaction volumes, dedicated team staffing, software seats, turnarounds, and pricing schedules. In the event of a direct conflict between these general terms and an executed SOW, the terms of the SOW govern.
Initial Finance Health Checks and MGA Operations Audits are fixed-scope, fixed-price diagnostic evaluations that conclude with an operational scorecard prior to commencing ongoing monthly recurring operations.
Service Levels & Quality Review
Service levels, turnaround expectations, review cadences, and reporting deliveries are tailored and agreed for each engagement directly in its Statement of Work.
- Two-Person Review: Every completed deliverable (reconciliation sheet, journal entry, or bordereaux pack) passes a secondary internal reviewer prior to final submission.
- Overnight Turnarounds: For North American and European clients, recurring ledger entries and voucher processing are completed during off-hours so updated books are ready for your business day.
- Exception Routing: Transactions requiring management approval or vendor clarification are routed through designated exception workflows rather than delayed silently.
Client ERP & Complete Data Sovereignty
The Client retains 100% ownership and administrative custody over all financial ledgers, transactional databases, and document repositories.
Cuboid operates strictly inside the Client's authorized cloud software seats (e.g., NetSuite, SAP, QuickBooks, Xero, Applied Epic). Cuboid builds no proprietary data walls or proprietary export schemas. If either party terminates services, you simply revoke our seat credentials—all reconciliations, audit trails, and journals remain intact inside your systems.
Mutual Confidentiality & NDA Enforcement
All financial statements, vendor records, pricing contracts, and employee payroll data shared with or processed by Cuboid are deemed Proprietary Confidential Information.
All Cuboid personnel assigned to client operations are bound by perpetual individual non-disclosure agreements, background verifications, and strict Segregation of Duties (SoD) policies.
Cuboid operators work under least-privilege role permissions configured and monitored by client system administrators.
Orderly Offboarding & Zero Lock-In
Engagements are designed with complete transparency and effortless transitions in mind.
Because all reconciliations, documentation, and bookkeeping run in your own systems, handing back processes to internal personnel or transitioning to another provider involves zero migration downtime or proprietary format extractions. Standard notice windows are detailed in each individual SOW.
